Never let a domain expire by accident again. Domain Renewal Reminder keeps an eye on your entire domain portfolio and sends you email alerts well before renewal deadlines hit. Add your domains, choose when you want to be reminded, and forget about it — we'll handle the rest.
Usage Guide
Your Dashboard at a Glance
When you open the Domain Renewal Reminder page, you'll see your personal dashboard. It shows every domain you're tracking, organised as individual cards. Each card tells you:
- Domain name — the domain being monitored.
- Registrar — who the domain is registered with (e.g. GoDaddy, Namecheap, Cloudflare).
- Expiration date — when the domain is set to expire.
- Days remaining — a quick countdown so you know exactly how much time you have.
- Reminder tags — which reminders are set and whether they've already been sent.
At the top-right you'll see your usage counter (e.g. 3 / 10 domains), so you always know how many slots you have left on your current plan.
Understanding the Color Codes
Every domain card is color-coded based on urgency:

| ⚪ Gray | Expiration date unknown — consider setting it manually. |
Adding a Domain
Single Domain
- Click the Add Domain button.
- Enter the domain name in the text field (e.g.
example.com). No need to includehttps://orwww.— those are stripped automatically. - Optionally change the Notification Email if you want reminders sent somewhere other than your account email.
- Choose your reminder intervals (see Setting Up Reminders below).
- Click Look Up & Add.
The system will automatically query public RDAP and WHOIS records to fetch the expiration date and registrar. Once found, the domain appears on your dashboard immediately.
Tip: You can also press Enter after typing the domain name to submit quickly.
Bulk Add
Have a whole portfolio to import? Use bulk mode:
- Click Add Domain, then switch to the Bulk tab.
- Paste your domain names — one per line, or separated by commas.
- Set a shared notification email and reminder schedule (these apply to all domains in the batch).
- Click Look Up & Add All.
A progress bar will show you exactly how far along the import is. Once complete, you'll get a summary telling you how many succeeded, which ones had warnings, and which ones failed (if any).
Note: Duplicate domains are automatically detected and skipped — you won't end up with two entries for the same domain.
Setting Up Reminders
Each domain supports up to three independent reminders. You pick how many days before expiry each one fires:

- Reminder 1 is always required (defaults to 30 days).
- Reminder 2 and Reminder 3 are optional — set them to "— None —" if you don't need them.
A common setup might look like:
- Reminder 1: 90 days (early heads-up)
- Reminder 2: 30 days (time to renew)
- Reminder 3: 7 days (final warning)
When a reminder fires, you'll receive a clear HTML email showing the domain name, expiration date, days remaining, registrar, and which reminder number it is (e.g. "1 of 3").
Once all reminders have been sent, you'll see a ✓ checkmark next to each reminder tag on the dashboard so you know at a glance what's already gone out.
Editing a Domain
Click the pencil icon (✏️) on any domain card to open the edit modal. From here you can:
- Change the notification email — redirect reminders to a different inbox for this specific domain.
- Set or override the expiration date — useful if the automatic lookup returned an estimated date or couldn't find one at all.
- Adjust reminder intervals — add, remove, or change any of the three reminder slots.
Click Save Changes when you're done. If you've changed the expiration date, all reminder flags are automatically reset — so your reminders will fire fresh based on the new date.
Refreshing a Domain
Click the refresh icon (🔄) on any domain card to re-run the expiration lookup right now. This is useful when:
- You've just renewed a domain and want the new expiry date to show up immediately.
- The original lookup returned an estimated or unknown date and you want to try again.
If the expiration date changes after a refresh, all your reminder flags reset automatically — no manual intervention needed.
Deleting a Domain
Click the trash icon (🗑️) on any domain card. You'll be asked to confirm before anything is removed. Once deleted, the domain and all its reminder history are permanently removed, and your usage counter frees up a slot.
How Automatic Re-Checks Work
You don't need to manually refresh every domain. The system automatically re-checks your domains on an adaptive schedule:

If a re-check detects that the expiration date has changed (e.g. you renewed the domain at your registrar), your reminders reset and will fire again based on the updated date. This all happens silently in the background — no action required on your part.
Notification Emails
Reminder emails are sent to the notification email address you set for each domain. If you didn't set one, they go to your account email by default.
Each email includes:
- The domain name
- The expiration date (formatted clearly)
- How many days are remaining
- The registrar name
- Which reminder this is (e.g. "2 of 3")
The email is color-coded by urgency — green when you have plenty of time, orange when it's getting close, and red when it's critical or already expired.
Troubleshooting
"Expiration date could not be determined"
Some domain extensions (especially country-code TLDs like .de, .fr, .cn) have limited WHOIS/RDAP data or restrict access. If this happens:
- The domain is still added to your dashboard — it just appears with a gray "Unknown" badge.
- Click the edit icon and manually enter the expiration date.
- Once set, your reminders will work exactly the same as any other domain.
"Estimated expiry date" warning
For some domains, the system can determine a registration date, but not the exact expiry. It estimates the expiry based on the registration anniversary. When this happens:
- You'll see a warning message mentioning the estimated date.
- We recommend verifying this date with your registrar and correcting it via the edit button if needed.
I renewed a domain but the old date still shows
Click the refresh icon on the domain card. This triggers a fresh lookup that should pick up the new expiration date. If the registrar hasn't updated their records yet, try again in a day or two.
I'm not receiving reminder emails
- Check your spam/junk folder — automated emails sometimes end up there.
- Verify the notification email — click the edit icon on the domain and confirm the email address is correct.
- Check the reminder tags — if a tag shows a ✓ checkmark, that reminder has already been sent. Reminders only fire once per expiration cycle. They reset automatically if the expiration date changes.
I've hit my domain limit
Each plan has a maximum number of domains you can track. If you've reached yours, you'll see a notice on the dashboard and the Add Domain button will be disabled. Upgrade your plan to unlock more slots.
FAQ
How many domains can I track?
That depends on your plan. You will find up to date limits on the pricing page.
Can I send reminders to different people for different domains?
Yes! Each domain has its own notification email field. You can set a unique email address per domain — perfect if you manage domains on behalf of clients or across different teams.
What happens if I add a domain that's already expired?
It still gets added. The card will show a red EXPIRED badge, and the system will continue checking it every 60 days in case you renew it. Once renewed, the new expiry date is picked up automatically and your reminders fire as normal.
Do reminders fire again after I renew a domain?
Yes — whenever the expiration date changes (either through an automatic re-check or a manual edit), all reminder flags are reset. Your reminders will fire fresh based on the new date.
Can I add subdomains?
No. Domain Renewal Reminder tracks root domains only (e.g. example.com), since expiration dates are set at the domain level, not the subdomain level.
What lookup methods are used?
The system uses RDAP (Registration Data Access Protocol) as the primary method, falling back to WHOIS when RDAP isn't available. Each domain card shows which method was used so you know where the data came from.
Can I manually set an expiration date?
Absolutely. Click the edit icon on any domain card, enter the date in the Expiration Date field, and save. This is especially useful for domains where the automatic lookup couldn't determine the date.
What reminder intervals are available?
You can choose from: 1, 2, 3, 4, 5, 6, 7, 14, 30, 60, or 90 days before expiry. You get up to three reminder slots per domain, and only the first one is required.
How do I know if a reminder has already been sent?
Each domain card shows reminder tags (e.g. "30d", "7d", "1d"). When a reminder has been sent, it appears with a ✓ checkmark. This way you can see at a glance which notifications have already gone out.
What time are reminder emails sent?
Reminders are processed once daily. On the day a reminder becomes due (i.e. the configured number of days before expiry), the email is sent during the daily processing cycle.
